Keyboard shortcuts and efficiency tips

Logging transactions should take seconds, not minutes. These shortcuts and techniques make data entry in Aspire fast and frictionless.

Essential keyboard shortcuts

Note: Google Sheets doesn’t have a native “insert today’s date” shortcut. See the workaround below.

Speed tips for data entry

Entering today’s date quickly

Type the date formula shortcut:

  • Type =TODAY() and press Enter
  • Immediately copy the cell and paste as values only (⌘⇧V / Ctrl+Shift+V) — this locks it as a static date rather than a formula that changes daily

Or just type the date in short form: 6/12 (Sheets will auto-add the current year).

Using Tab to move across columns

When entering a transaction, press Tab after each field to move to the next column. This keeps you in a single row without needing to click:

  1. Click the Date cell → type date → Tab
  2. Type amount → Tab
  3. Type memo → Tab
  4. Select account from dropdown → Tab
  5. Select category from dropdown → Tab
  6. Select status → Enter (moves to next row)

When a cell has a dropdown (Account, Category, Status):

  1. Press Space or Enter to open the dropdown
  2. Start typing to filter options (type “gro” to jump to “Groceries”)
  3. Press Enter to select

This is much faster than scrolling through a long category list with your mouse.

Copying repeated transactions

If you have regular transactions (same coffee shop every morning, same gym fee monthly):

  1. Find a previous instance of that transaction
  2. Select the row’s data cells
  3. Copy (⌘C / Ctrl+C)
  4. Go to a new empty row
  5. Paste values only (⌘⇧V / Ctrl+Shift+V)
  6. Update the date and amount if needed

Batch entry

If you’ve been logging transactions mentally and want to enter several at once:

  1. Start at the first empty row
  2. Enter all dates first (down the column)
  3. Then all amounts
  4. Then all memos
  5. Then accounts and categories

Column-by-column entry is often faster than row-by-row because your brain stays in one “mode” at a time.

Jump to the next empty row

Press ⌘↓ (Mac) or Ctrl+↓ (Windows) in a column with data to jump to the last filled cell. Then press ↓ once to reach the next empty row.

Switch between tabs quickly

Right-click a tab name at the bottom and use the tab list, or use the keyboard:

  • ⌘⇧Page Down (Mac) / Ctrl+Page Down (Windows) — next tab
  • ⌘⇧Page Up (Mac) / Ctrl+Page Up (Windows) — previous tab

Bookmark your most-used tabs

If you primarily use the Transactions tab:

  • Navigate to it, then bookmark the URL in your browser
  • Your browser will always open Sheets to that specific tab

Formatting tips

Paste values only (always)

When pasting data in Aspire, always use Paste Values Only (⌘⇧V / Ctrl+Shift+V). Regular paste can carry over formatting, conditional formatting rules, and data validation from the source — which can break Aspire’s visual structure.

Don’t worry about number formatting

Aspire’s columns are pre-formatted. Just type numbers naturally (42.50, 15, 1200) and they’ll display correctly. No need to add dollar signs or commas manually. Enter spending amounts in the Outflow column and income in the Inflow column — never use negative numbers.

Tips

  • Build muscle memory. The first week of using shortcuts feels slower. By week two, you won’t go back to clicking.
  • Keep Aspire in a pinned browser tab. Reduces the friction of opening it for quick transaction entry.
  • Mobile for capture, desktop for management. Log transactions on your phone (Sheets app) throughout the day. Do reconciliation, category transfers, and reports on desktop where shortcuts work.
