Can I budget for business and personal in one spreadsheet?
You can, but whether you should depends on how separate your finances actually are.
Option 1: Separate Category Groups (same spreadsheet)
If your business is simple (freelancing, side hustle) and shares bank accounts with your personal finances:
- Create a “Business” Category Group on the Configuration tab
- Add business-specific categories under it: “Business Income”, “Business Supplies”, “Software”, “Contractor Payments”, etc.
- Keep your personal categories in their own groups
- All transactions go in the same Transactions tab — just use the appropriate category
Pros: One place for everything. Simple to manage. Cons: Personal and business spending are mixed in reports. Harder to hand to an accountant at tax time.
Option 2: Separate spreadsheets
If your business has its own bank accounts, or you need clean separation for tax/legal reasons:
- Copy a fresh Aspire spreadsheet for your business
- Configure it with business-only accounts and categories
- Keep your personal Aspire spreadsheet separate
Pros: Clean separation. Easy to export business-only data for tax filing. No risk of miscategorizing. Cons: Two spreadsheets to maintain. Transfers between personal and business require an entry in each.

Recording owner’s draws / transfers
If you take money from your business for personal use (or vice versa):
- In the business spreadsheet: log an outflow to a “Owner’s Draw” category
- In the personal spreadsheet: log an inflow to “Available to budget”
If using one spreadsheet with separate groups, just use a category transfer between your business and personal categories.
